Change User to Extension-Only or Phone Number and Extension

 

Overview

 

As an AT&T Voice DNA® Administrator, you can change a user (or a fax user) from having a full phone number and extension to having an extension only, and vice versa.

 

Users with only an extension can't directly receive calls from outside the company, can't be listed in a Virtual Office list, and can't be assigned a voice mailbox. When making calls from an extension-only device to a number outside the company (including 911 calls), the current location caller ID value is used for the user's Caller ID.

Change a User to an Extension Only

 

Change a user's phone number setting by using the Profile tab on the User Details page. You make this change on the View User Details page; don't click Edit to open the Edit page.

 

Note: Changing the user's phone number setting doesn't change the user's Premier account profile settings.

 

To change a user's phone number to an extension only

  1. Open the AT&T Voice DNA® Administrator Dashboard, and then locate the user's information. (For help with this step, see Log In and Use Search).
  2. On the User Details page, next to Phone Number, click Change to extension only. The Change to extension only page appears, with the default location and extension entered.

 

  1. Enter a new extension or use the default extension provided. If you plan to assign the user's former phone number to another user, make sure that you set this user's extension so it no longer matches the last digits of the former phone number.
  2. Click Save.

     

    Note: If the user has a voicemail box, a message appears, warning that if you change to an extension only, the user's current voicemail box and all contents will be deleted.
  3. To change the user to an extension only, click Yes. If you want to stop the process and return to the User Profile page, click Cancel.

     

    If you click Yes, a confirmation message appears at the top of the page, listing the new extension number and other information about the change.
  4. Reboot all devices (IP phones, desktop adapters, location adapters) on which the user's extension appears.
  5. Note the following while rebooting:

     

    Location adapter—While a location adapter is rebooting, all calls from your location are disrupted, not just calls for non-IP phones and fax machines that are connected to the adapter phone ports. Rebooting most location adapters takes only a few minutes. If the location adapter hasn't been rebooted in a while, rebooting may initiate a firmware upgrade and take 15–20 minutes to complete.

     

    Desktop adapter—While a desktop adapter is rebooting, all calls for devices connected to the desktop adapter are disrupted. Rebooting an EdgeWater 250IAD desktop adapter takes 20–30 minutes. You must wait for the cycle to complete before you can make or receive calls from devices connected to the EdgeWater 250IAD.

 

Change a User to a Phone Number and Extension

 

Set up an extension-only user with a phone number by using the Profile tab on the User Details page. You make this change on the View User Details page; don't click Edit to open the Edit page.

 

Note: Changing the user to a phone number based user doesn't change the user's Premier account profile settings.

 

To change a user's extension to a full phone number and extension

  1. On the AT&T Voice DNA® Administrator Dashboard, locate the user's information. (For help with this step, see Log In and Use Search).
  2. On the User Details page, next to Phone Number, click Change to phone number and extension.
  3. On the Change to phone number and extension page that appears, do one of the following:
    • Enter a phone number and extension. The phone number must be associated with the user's location.
    • Click Select from available Phone Numbers. The Available Phone Numbers window opens, displaying phone numbers for the user's location. Select an available phone number by clicking the checkmark  at its right.
  4. Click Show/Edit Extension. The user's current extension appears. You can change this extension before saving, although it is recommended that you use an extension that matches the last digits of the user's new phone number.
  5. Click Save.

     

    A confirmation message appears at the top of the page with the new phone number and extension.

     

    Note: If the user has a Premium feature package, you can assign a voice mailbox to the user. See Manage Voice Mailboxes.

  6. Reboot all devices (IP phones, desktop adapters, location adapters) on which the user's number (extension) appears.
