Managing Hoteling User Settings

 

Overview

 

Hoteling is a feature of your AT&T Voice DNA® service where one user's AT&T Voice DNA phone number and features temporarily move to (or are associated with) another user's IP phone on the network.

 

The user sharing an IP phone is called a hoteling host user, and that phone is called a hoteling host phone. The user moving (associating) a number to a host phone is called a hoteling guest user. Depending on the permissions you grant, a user can be a host user, a guest user, both, or neither. (If a user has neither permissions, that user can't function as a host user or guest user).

 

The guest user's phone number becomes the primary line on the hoteling host phone, which also assumes the guest number's active service features such as Locate Me. The guest user selects a host user and creates an association, or releases an established association, on the AT&T Voice DNA User Dashboard or directly on the host phone. You control a user's hoteling guest or host status and settings on the AT&T Voice DNA Administrator Dashboard.

Assign a Hoteling Guest or Host Feature to a User

Note: For a hoteling host user with multiple devices, only the primary device can have the hoteling host capability.

 

To assign a hoteling guest or host feature to a user

  1. Open the AT&T Voice DNA Administrator Dashboard. For help with this step, see Log In.
  2. Select a location, and then search for the user. Or, click View List of All Users and filter the list that appears.
  3. In the user list, click the user's name. The User Details page appears.
  4. Click Features, and then click Edit.
  5. Under Available Features, select Hoteling Guest, Hoteling Host, or both, and then click the arrow to move them under Active Features.
  6. Click Save.

Manage a User's Hoteling Host Settings

 

As Administrator, you can edit the user's hoteling host settings from the AT&T Voice DNA® Administrator Dashboard. Note that the hoteling host user can override the settings from the AT&T Voice DNA User Dashboard.

 

To edit a hoteling host user's hoteling settings

  1. Open the AT&T Voice DNA Administrator Dashboard.
  2. Select a location, and then search for the user. Or, click View List of All Users and filter the list that appears.
  3. In the user list, click the user's name. The User Details page appears.
  4. Click Devices and Line Appearances.
  5. Scroll to Hoteling Host, and then click Edit.

  6. Under Edit Primary Device Hoteling Host Settings, make the changes you want:
    • Status is set to On, and you can't change it.
    • Limit a guest's association time. Set the maximum time a hoteling guest user can associate with this hoteling host user before the system terminates the association (if the limit is enforced). Under Limit Guest's Association, enter 1–999 hours. The default is 24, with Enforce Limit selected.
    • Check or uncheck Enforce Limit. If you uncheck it, an associated guest user can override the guest association limit you set here from the AT&T Voice DNA User Dashboard.
    • Select a hoteling guest user's access level. Select Tenant or Host's Location Only. Tenant means a guest can be any user in the enterprise who has hoteling guest status. Host's Location Only means a guest must be a user in the host's own location who has hoteling guest status.
  7. Click Save.

Change a User to a Hoteling Center Host User

 

A hoteling center host user is a user whose phone is dedicated as an AT&T Voice DNA® IP phone for visitors' use. (For example, you might put a hoteling center host phone in a guest office.) You can change a regular user to a hoteling center host user. You can also create a virtual hoteling center host user. To change a regular user to a hoteling center host user

  1. Open the AT&T Voice DNA Administrator Dashboard. For help with this step, see Log In.
  2. Select a location, and then search for the user. Or, click View List of All Users and filter the list that appears.
  3. In the user list, click the user's name. The User Details page appears.

  4. Click Change to Hoteling Center Host.

     

    Note: For a hoteling host user with multiple devices, only the primary device can have the hoteling host capability.

  5. In the Modify User Confirmation window that opens, click Confirm. The user changes to a hoteling center host user, and the user's phone changes to a hoteling center host phone.
  6. To complete the change, the user's phone must be rebooted:
    • To do a remote reset, on the Hoteling Center Host Details page, click Devices and Line Appearances, and under Primary Device, click Reset.
    • To reboot the phone manually, the user (or someone else) can turn the phone off, wait 10 seconds, and then turn it back on.

    Note: You can't change the hoteling center host user back into a regular user. You must delete the hoteling center host user and recreate a regular user.

Reset a Guest User's Hoteling Passcode

 

Hoteling guest users have a passcode that enables them to log directly into a hoteling host user's IP phone. If a hoteling guest user is unable to change the passcode on the AT&T Voice DNA® User Dashboard, you can change it for the user.

 

To reset a user's hoteling guest passcode

  1. Open the AT&T Voice DNA Administrator Dashboard. For help with this step, see Log In.
  2. Select a location, and then search for the user. Or, click View List of All Users and filter the list that appears.
  3. In the user list, find the user's name, and then, under Actions, click the View User's Portal icon (the first icon) Hoteling user portal icon. The user's AT&T Voice DNA User Dashboard appears.
  4. Click Settings, and then click Hoteling immediately below. The Hoteling Settings page appears.
  5. Click Edit. In the Enter New Hoteling Passcode field, enter a new passcode according to these rules:
    • Passcode must be 4-10 digits long.
    • Can't be your own extension or phone number.
    • Can't be your own extension or phone number reversed.
    • Can't contain more than 3 repeated digits.
    • Can't contain more than 3 sequential digits. For example, it can't include 1234 or 4321.
    • Can't be a repeated pattern. For example, 514514 is not valid. (Can contain a repeated pattern, for example, 12514514 is valid.)
  6. In the Confirm New Hoteling Passcode field, re-enter the passcode.
  7. Click Save.
  8. Notify the user of the new passcode.
