Line Appearances Report

The Line Appearances Report provides information about how line appearances are provisioned on a location’s IP phones, desktop adapters, and location adapters. It contains the following:

  • Device’s location
  • Device owner's extension
  • Device's make/model and MAC address or identifier (softphone)
  • Phone key index (the line key that the extension appears on)
  • Adapter port index (the port assigned to a non-IP phone or fax machine)
  • Appearance extension (If the line appearance is a cross location extension, the entry includes the location dialing prefix, for example 5-1234)
  • Appearance label (the line key label for supported phones)
  • Call presence  (whether it's shared or not shared)
  • Barge-in (displayed only in CSV downloaded report)
  • Number of calls per key

For an explanation of line appearances, see Manage IP Phones and Line Appearances.

To run a Line Appearances Report

  1. Open the AT&T Voice DNA Administrator Dashboard. (For help with logging in, see Log In.)
  2. To open the report, do one of the following:
    • At the top of the page, click REPORTS. Under Equipment, click Line Appearances.
    • At the top of the page, click RESOURCES, and then click Equipment. Under Equipment, click Reports, and then select Line Appearances Report.

If your company is very large, you may see a My Recent Reports tab and an All Reports tab on the Reports page. To run a new report, click All Reports, and then click the report name. To view your pending and saved reports, click My Recent Reports. (For more information, see Manage Reports.)

The Line Appearances Report page appears.
  3. Specify the location and extensions for the report (if you have only one location, the location’s name and ID number appear next to Location, and the Extensions fields are available):
    • To include all locations and extensions, select All locations.
    • To include all extensions for specific locations, select Specific location, and then check the locations you want to include.
    • To include only specific phone extensions, select Specific location, and then check the locations you want. Select Extensions, select Single Extension or Extension Range, and then enter the appropriate extensions.

  4. Under Report Output, select Display on Screen or Downloadable File (.csv). (If you select Display on Screen, you’ll get another chance to download the file later.)

Note: If your data set is too large, Display on Screen may not be available.
  5. Click Generate Report.
    • If you selected Display on Screen, the report results appear on screen. To save the file, click Save results to a text file.
    • If you selected Downloadable File (.csv), when the report confirmation window opens, click Download Report (CSV). In the File Download window that opens, click Open to view the results in your spreadsheet application, or click Save to save the results as a text file on your computer.

Note: For larger companies or data sets, the report may not run immediately. Instead, a confirmation message appears, telling you to check the My Recent Reports tab for the report. (For more information on using the My Recent Reports tab and managing reports for large companies, see Manage Reports.)
